2. Daily Operations

[2.c] Employee Schedule in Homebase

All Staff work hours are posted in Homebase. Use the Homebase app to view your scheduled work hours. Note that schedules can be viewed in Week view or Day view. Explore the app to become familiar with its functionality. Download the App to your phone.

Along with viewing your work schedule you will use Homebase to Request & Swapping Hours, and for Messaging.

You will need to use it to "Clock in" and "Clock out" of your shifts. You can also use it if you need to find someone to swap shifts.

Important Notes:

  • Interns are not paid for more than 8 hours a week. Swapping shifts is fine, covering someone's shift without a swap, is not fine because it will put you over 8 hours.

  • When you do swap shifts let the GA’s and staff you are working on a project know by sending an email to the GA and staff (and cc’ Ken).

  • Homebase “clock-in” and “clock-out” are different from your myfsu timesheet. You will need to fill out your payroll timesheet separately for you to get paid.

Grad Assistants - your contract says 20h/week and that is what your paycheck will reflect whether you work those exact hours or not in any given week; so, please keep track of your hours in Homebase (by clocking in/out) and if you miss some of them make sure to make them up, preferably, not all of them at the end of the semester. Obviously, swapping hours is the easiest way to manage your time.

All staff are asked to find replacements for hours they are unable to work. the Innovation Hub MUST have a minimum of three staff on duty at all times.

[2.a] Employee Dress and Conduct

All Interns and Federal Work Study students are provided with two Innovation Hub "Staff" shirts to wear during work hours. You may wear pants or shorts in good condition, sweaters or other long sleeve tops may be worn over the t-shirt if necessary striving to keep the Innovation Hub logo visible so that visitors can recognize you as an employee.

All Interns and Federal Work Study students are expected to wear a Hub Staff shirt or a Hub related shirt during their shift.

Anytime you wear the Innovation Hub t-shirt with “STAFF” on the Innovation Hub premises, you are considered on-duty. If you just want to hang out in the Innovation Hub, you should wear some other top.

GAs are provided with name tags that they may wear instead of a staff tee.

Toeless footwear is prohibited in the Fablab.

All staff should maintain a tidy, professional appearance and behavior while on duty. Your focus should be on serving our visitors. Interns should report to our Grad Student Assistants for their work instructions, questions, or concerns, or full-time staff when GAs are not on duty.

[2.b] Hours of Operation

2021 Fall Hours: Mon-Thr: 8 AM- 8 PM; Friday: 8AM - 6PM; Closed on weekends

(Grad Assistants will arrive at 7:30 AM to open and prep the Innovation Hub for the day, and stay until 8:30 PM / 6:30 PM for all closing procedures)

Fablab hours are sometimes different from the general Hub hours; they are posted on the Fablab doors and the Innovation Hub website.

[2.d] Viewing Room Reservations and Tours

Each day should begin with a review of room reservations so that the rooms may be setup as needed. To view the day's reservations, start the computer at the front desk and in the browser open: https://fsu-innovation.bookedscheduler.com/Web/index.php?redirect=:

  • log on to Booked using email: INFO@innovation.fsu.edu; password: thehubpw

  • Top menu has “Schedule“, which is a dropdown menu; click on >Bookings to view the schedule for the day (scroll down to view next couple of days or choose a specific date from the calendar above)

  • If any tours are scheduled make sure you read the transcript in Appendix A: FSU Innovation Hub Tour below.

  • If it is a big group (more than 10 people) two students can split the group and tour each of them starting from different end of the premises.

[2.e] 3D Print Pick up

Once a 3D print is finished the Fablab interns will take it off the shelf and place the printed object in a plastic pick up bin and label it with the associated FSU ID and date. The plastic bins will be set on the shelf in the front desk or on the shelf in the Fablab.

When a student or staff comes to pick up their prints, ask and note what their FSU ID is and look for the bin with the corresponding ID. After the student has picked up the print, erase the label off the bin and bring the empty bins back to the Fablab.

  • Writing down the individual’s FSU id helps, so you don’t have to walk back and forth asking what the individual’s id was. Use a post-it note.

  • If you can’t find the bin with the individual’s FSU id, ask if they work for FSU and if they do ask them for their staff FSU id. (example. “ndg14b” verses “ngeorgevich”). 3DprinterOS takes priority of staff id over student FSU id if an individual has both. This applies the same for staff and faculty.

  • Check students if they are visiting the Innovation Hub to pick up their 3D prints to prevent students from walking in and picking up the prints on their own.

  • Fablab staff and interns will be trained separately to process finished prints.

  • If the finished print is still in the 3D printer, ask one of the fablab staff or interns for help. Only staff and interns should be taking prints off the 3D printer.

  • If you are unable to locate the ‘completed’ 3D print, direct the student to a Fablab staff and a fablab staff will investigate what happened to the print.

[2.f] Opening the Hub

Staff responsible for opening The Hub should arrive 30 minutes prior to the time we open.

  • Enter the Innovation Hub via card swipe at the loading dock entrance.

  • Utilize the key in the lockbox to enter the break room. (lock combination for GA’s only)

  • Make sure you Clock In using the Homebase app

  • Turn on Lights at the central pillar behind the desk.

3. Policies

[3.a] Gaining Admission (Swiping In)

The Innovation Hub is open to anyone with an FSU card, and others by special permission of the supervisor on duty.

Everyone must swipe in and swipe out in order for us to maintain accurate records of who is using the Innovation Hub, and for maintaining a safe and secure environment.

If a person doesn’t have their FSU card, they must fill out our “no card” form and checked their identity and be swiped in by a staff or intern.

Student’s shouldn’t swipe in other students with their ID’s.

A wide gate is provided to allow wheelchair access. The gate should not be used to allow multiple users through or be used for convenience accept in instances where tour groups are gaining access, or classes are being released.

[3.b] Temp ID Cards

Temporary ID cards are used to swipe in legitimate visitors who don't have an FSU Card.

  • At the front desk you’ll find a small plastic box with drawers where we keep one generic FSU card.

  • When a student says he/she has forgotten/lost their FSU card we can still let them in by swiping that temporary card for them.

  • One temporary card - “Visitor FSU Card” is kept in one of the small containers on the desk.

  • Before we let them in we need to first verify that the person is affiliated with FSU:

  • Have the person fill out the “no card” form on the ipad or computer.

  • Ask the person to present another ID that he/she may have (driver’s license, or state issue ID)

  • No ID, no access.

[3.c] General FabLab Policy

The following are the general Fablab policies. If there are questions beyond the listed policy, then direct the question to the Fablab manager.

  • No items or objects of hate speech and drug paraphernalia can be printed or made at the Innovation Hub

  • No weapons or weapon looking items or objects can be printed or made at the Innovation Hub. This includes items for cosplay and items that can be mistaken as a weapon.

  • Individuals can’t sell the items printed or made at the Innovation Hub. This is against University policy.

  • the Innovation Hub doesn’t support manufacturing. Manufacturing is defined as printing the same object in multiple quantities. This includes printing and making multiples of the same item with the intention to sell AND for gifts, giveaways, hobbies, and other. However, the Innovation Hub supports iterative design and prototyping.

  • Any large prints or prints that will take long time to print needs to be consulted and approved by the Fablab manager.

  • Our 3D printers are unable to print in multiple colors. They only print in one color.

For projects and use of the equipment we highly encourage asking, talking and consulting with the Fablab staff and/or the Fablab manager to help us better support the project.

[3.d] Design Studio

The design studio is the area in front of the Fablab with the desktops, Mac pro, and Surface studio set up for students to use for designing, creative, and innovative purposes.

  • Designing, creative, and innovative works includes, and not limited to, graphic design, photo editing, 3D design, 3D printing/slicing, video editing, coding, raspberry pi development, 2d design, interior design and more.

  • These computers are NOT meant to be used for homework, document work, or checking emails. If a student is using any of the design studio computers, then kindly remind them that these computers are for design work only. (Exceptions are made if the student’s homework or coursework requires them to design or use our designing softwares)

  • The computers do not use the FSU single sign on system. They are logged into through the Innovation Hub guest account. Remind students that if they log into any accounts (i.e. Fusion 360 and 3DPrinterOS) they need to log out when they are done.

  • We cannot install special, specific, or new softwares onto the computers. If a specific software is needed for a class or research purpose, then it needs to be consulted with a staff and be approved. At which point the staff will install the software.

[3.e] Visitor Conduct

It is our duty to keep our environment safe and comfortable for ALL guests. Sometimes this requires addressing issues of visitor conduct. Examples of unacceptable behaviour of visitors in the Innovation Hub include:

  • Sleeping on the sofa or the floor

  • A small group of students taking over a large part of the space

  • Arguing over Hub resources

  • Damaging any of the furniture or walls

  • Any behaviour that interferes with other visitors’ use of the Innovation Hub space and equipment, i.e. loud speech, smoke/vape, etc.

Ask the visitor to either stop any such activity you notice or leave the premises. In extreme situation please call FSU police (see emergency contacts)

[3.f] Food and Drink

Food and drinks are allowed in the Innovation Hub. Students are asked to clean up after themselves. No alcoholic beverages! No vaping!

The kitchen area is for Staff use only. We don’t provide access or service to microwave and refrigerate food and drinks for students.

[3.g] Visitor Dress Code

No shoes, no shirt, no Hub access.

[3.h] Pets

Pets in general are not allowed in the Hub. Only service and emotional support animals are allowed.

  • A service animal is individually trained to do specific work or perform tasks for the benefit of a person with a disability, including but not limited to physical, sensory, psychiatric, intellectual, or other mental disabilities.

  • Any animal providing emotional support, well-being, or comfort that eases one or more identified symptoms or effects of a disability. Emotional support animals may also be referred to as comfort or therapy animals. Unlike service animals, emotional support animals are not individually trained to perform specific work or tasks.

  • All service or emotional support animals must be kept under control by a harness or leash unless the person is unable to hold those, or such use would interfere with the service animal's performance of tasks. In such case, the service animal must be kept under control by voice, signals, or other effective means.

[3.i] Room Reservations

FSU students and departments can reserve many of the spaces in the Innovation Hub. Students can reserve Huddle Rooms and Phone Booths, organizations can reserve our larger spaces. Organization reservations go through an approval process. Reservations begin at our Reservation Page where instructions are provided as well as a link to the reservation form.

It may be necessary to view and confirm reservations to resolve any conflicts that may arise (see 2.d Viewing Room Reservations).
